1. Information We Collect
We collect: account information (name, email, mobile, password hash, role); business information (company name, business type, PAN, GSTIN); KYC documents (business registration, certificates, bank/address proof you upload); Buyer information (requirements, specifications, budgets, reference images); Seller information (categories, bids, prices, product images); Order information (products, quantities, amounts, statuses); payment-related information (transaction references, payment status, amounts — we do NOT store complete card numbers or sensitive payment credentials, which are processed by our third-party payment gateway); address information (delivery/pickup addresses, PIN codes); device and usage information (browser, IP, pages visited); cookies and similar technologies; chat information (buyer–seller and support messages); AI interactions (your questions to the Smart Bidd AI Assistant and its responses); support tickets; logistics information (tracking numbers, shipment events, delivery proofs); and fraud/security signals.
2. Why We Process Information
We process information to: create and manage accounts; verify businesses (KYC); match Requirements with eligible Sellers; enable bidding, ordering and payments; calculate fees, commissions and payouts; arrange logistics and delivery; operate subscriptions; provide AI assistance and support; detect and prevent fraud; comply with law; and improve the Platform. We process data on the basis of contract performance, legitimate interests, legal obligations and, where required, consent.
3. How We Share Information
We share information only as needed to operate the Platform: with Buyers (Seller business identity and bid details for comparison); with Sellers (Requirement and delivery details); with Logistics Partners (pickup/delivery addresses and contact details for assigned orders); with payment providers (to process payments); with KYC/verification providers; with cloud and technology providers (hosting, storage, analytics); with AI providers (to generate responses — limited to the context needed); with support providers; and with government, regulatory or law-enforcement authorities where legally required.
4. KYC Documents
KYC documents are used solely for verification and compliance, are access-restricted, and are visible only to authorised verification personnel. We never publish KYC documents.
5. AI Interactions
When you use the Smart Bidd AI Assistant, your messages and relevant account context (e.g., order status you ask about) are processed to generate answers. AI output is advisory and never changes your account, orders or payments by itself.
6. Cookies
We use essential cookies for authentication and security, and preference cookies for functionality. You can control cookies through your browser; some features may not work without them.
7. Data Retention
We retain account, transaction, financial and audit records for as long as your account is active and thereafter as required by applicable tax, accounting and legal obligations. You may request deletion subject to these obligations.
